Full job description

Role Overview:

The Senior Property Services Coordinator plays a crucial role in our team by overseeing the scheduling of necessary works and communicating with clients and contractors to ensure compliance with contractual obligations. This role demands effective coordination skills and an ability to manage multiple tasks efficiently.

Key Duties and Responsibilities

Work Scheduling and Coordination:

  • Schedule and confirm work appointments with clients and contractors.
  • Coordinate with on-site staff and contractors to ensure timely completion of tasks.
  • Communicate regularly with all parties involved to keep them informed of progress and changes.

Material and Equipment Procurement:

  • Order and manage the delivery of necessary materials and equipment for scheduled works.
  • Maintain accurate inventory records of materials and equipment.

Documentation and Compliance:

  • Create and maintain comprehensive records of all maintenance activities and correspondence.
  • Ensure all documentation is complete, accurate, and compliant with industry standards and contractual obligations.

Communication and Customer Service:

  • Serve as the primary point of contact for clients and contractors.
  • Handle inquiries, complaints, and feedback effectively and professionally.

Administrative Support:

  • Assist in the preparation of detailed reports and documentation for internal and external use.
  • Manage administrative tasks related to maintenance activities, including data entry and file management.

Team Coordination:

  • Facilitate communication between team members to ensure awareness of operational updates and changes.
  • Support the Head of On-Site Services in overseeing the team’s activities and ensuring optimal performance.

Working Hours:

  • Monday to Friday, 08:00-17:00, with a 30-minute lunch break. The role requires additional out-of-hours work when on call for emergency situations.

Note:
The Senior Property Services Coordinator is expected to be adaptable and responsive to the evolving needs of the role, able to take instructions from the Head of On-Site Services, and collaborate effectively with the team to ensure seamless operations.
