Overview

RTM Company Directors are looking for a Residential Development Manager to manage their retirement block for independent living.

Mowbray Court was built in 2000 and consists of 61 flats. It boasts a communal lounge, laundry room, guest suite, library, kitchen and garden.

Key Requirements

The main responsibility of the RDM is to make sure that Mowbray Court is a safe, clean and comfortable environment for residents. This includes the preservation and recording of all statutory and regulatory requirements.

The RDM will take pride in making sure the building is managed safely, high standards are consistently maintained and exceptional customer service is always delivered.

They will positively engage and communicate with the RTM Directors of Mowbray Court.

The RDM will be required to establish a good understanding of the lease(s) of the residents of Mowbray Court. The RDM will be required to discuss relevant matters from a position of knowledge in reminding leaseholders of the terms and conditions they have signed and agreed to when becoming residents at Mowbray Court.

Responsibilities do not include providing nursing care to residents (see Appello* below). Maintaining professional boundaries is an important aspect of the job role.

The key responsibilities are set out below and cover the main areas of the post. This is not a complete list as the nature of the job may mean other duties are required.

Key Responsibilities

  • To always maintain a high profile on the development during working hours. To be approachable and provide support and guidance to residents when required.
  • To establish friendly communication with residents and provide new residents with a warm welcome.
  • To encourage and support social activities and to drive a sense of community within the development.
  • To support care line (Appello*) in the event of an emergency providing access when required.
  • · To ensure all communal areas of the building, garden and grounds are safe, clean and maintained to a high standard including the cleaning and smooth running of the Laundry Room.
  • To ensure residents are aware of their responsibilities as far as H&S and security are concerned.
  • To assist with resolving tenant disputes such as noise complaints so that a satisfactory outcome is reached for all parties.
  • To monitor and manage the car park of Mowbray Court communicating with leaseholders and relevant authorities where necessary to resolve any instances of unauthorised parking.
  • In extenuating situations, the post-holder may need to be available at some unsocial hours.
  • Acting as the first point of contact for maintenance queries and liaise with contractors to ensure residents are kept updated on maintenance progress.
  • Arranging ad-hoc repairs and managing contractor/supplier performance.
  • Conducting regular inspections of the development and recommending\carrying out improvements.
  • Identifying and resolving any issues where possible (as identified in any category) and report any relevant issues in a timely and constructive manner.
  • Maintaining an overview, monitoring and assessing all works carried out by inspectors and to report any failings and concerns though the line-management channels.
  • Providing information to the managing agent in the preparation of any tendering for works on the basis of any lessons learned.
  • Ensuring efficient operation of H&S systems and equipment such as the fire alarm, door entry and fire appliances. Making sure all routine tests and inspections relating to safety are carried out when required.
  • Collaborating with specialist advisers/technicians such as building surveyors and engineers.
  • Ensuring regulatory compliance in-line with industry guidelines.
  • · Liaising with third parties, such as local authorities, fire safety officers, neighbouring property owners, developers and community groups.
  • To undertake any training that is required as part of this post.
  • To keep all paperwork and files up to date using paper and computer-based systems. This includes maintaining accurate records of leaseholder’s contact details which are shared with the out of hours emergency care line Appello.
  • To liaise with prospective buyers and estate agents to assist with the sale of flats.
  • To provide management information to leaseholders upon request.
  • To work alongside Directors of Mowbray Court in delivering the key responsibilities of the RDM position.
  • To attend meetings of the Directors as requested to provide advice, information and support.
  • To deal with customer service enquiries via phone, email, and supporting homeowners with access to mybns BNS portal.
  • To manage Guest room bookings and process payments in line with the process.

Skills, Knowledge and Experience

Previous experience is not an essential requisite but the applicant must have well developed interpersonal skills.

The applicant must be an effective communicator and be able to demonstrate a high degree of thoughtfulness and sensitivity while remaining focussed on the duties and responsibilities of the post.

Being exceptionally organised to stay on top of the admin is also critical to the role.

General Terms and Conditions

  • Hours of Work: Mon- Fri 8am- 4pm (35 hours per week).
  • Salary per annum with the added benefit of rent-free accommodation at Mowbray Court and parking on site.

General Background Information

Mowbray Court (Exeter)’ Management Company (RTM) Ltd

Right to Manage (RTM) company is a particular type of company formed by the leaseholders (residents) using a legal right to take over the management of their block of flats. In essence the right for the leaseholders of a building containing flats to take over management of the building from the freeholder (via an RTM company). Mowbray Court became and RTM in 2010. BNS Property Management Services

BNS is an independent, expert property services group for block management, facilities management and maintenance services: based in Bristol, BNS has been appointed by Mowbray Court (Exeter)’ Management (RTM) Company to deliver an all-encompassing service including; access to management support, use of systems, administrative help, full financial support and advice, chairing of meetings & production of minutes, collating of specifications and quotes for major works and undertaking of all day-to-day duties required.

BNS has been appointed as the Managing Agent and is effectively employed by the RTM to carry out all property services relating to the company. The Managing Agent’s responsibility is to the RTM Company (often referred to as the agent’s client) and not directly to the individual lessees.

Appello* is the system installed in all apartments and run directly to Careline365, The system operates 24/7 by direct contact once cord is pulled. The RDM will liaise with Careline365 team only if necessary.

Education:

  • GCSE or equivalent (preferred)

Experience:

  • Support Environment: 1 year (required)

Licence/Certification:

  • NVQ Level 2 Health & Social Care (preferred)
